Team Mel Coaching — Terms of Service, Client Policies & Professional Standards

Last updated: November 3, 2026

Business: Team Mel Coaching Ltd.
Email: mel@teammel.ca

Important: your cancellation rights

For a fitness or personal services contract covered by British Columbia law, you may cancel without giving a reason until 10 days after receiving your contract copy. You may also cancel for a qualifying material change in your circumstances or the services supplied. Other cancellation rights can arise from missing required information, failure to provide a contract copy, or non-delivery. These rights apply even if your package has a fixed commitment or work has begun.

Where required by law, refunds will be calculated using the applicable statutory formula and paid within the statutory deadline. No business policy below restricts these rights. See section 12 for further details.

Send cancellation notices to mel@teammel.ca with your name and a clear statement that you wish to cancel. Include the reason when exercising a statutory right that requires one. Keep evidence of the date sent. You may use another legally permitted method; no special Team Mel form or coach approval is required to exercise a statutory cancellation right.

1. Your agreement and existing clients

These Terms of Service, Client Policies & Professional Standards apply to the Team Mel service you purchase, together with your package description, agreed price, taxes, payment schedule, start and end dates, commitment length, renewal terms and any written variations agreed by both parties. Only services expressly included in your purchase are included. An application or strategy call does not by itself enrol you in a paid service.

Before purchase, you will receive the applicable service and payment details, total financial commitment, business contact information and required disclosures. You will receive a copy of your completed agreement within the period required by law. Keep that copy for your records.

Existing clients: publishing these Terms does not automatically replace the agreement you previously accepted or change your price, inclusions, check-in frequency, access period, cancellation rights or remaining commitment. Your accepted agreement continues unless both parties validly agree to a change. Section 4 records the legacy package arrangements for clients still using those services; it does not create a new charge or commitment.

If a package-specific written term differs from a general policy, the specific agreed term governs that service, subject always to mandatory law. Legacy clients are not automatically transferred into a new package when an older service is phased out.

2. Current packages and scope of support

Mel’s Training Club — Self-Guided Membership: on-demand home and gym strength workouts, exercise demonstrations and instructions, workout logging and progress tracking, Team Mel app access, guides covering training, nutrition foundations and everyday habits, and private member community chat. Personalized programming, nutrition coaching, individual check-ins, form reviews and private coach messaging are not included. Billing and access enquiries may be sent by email.

Silver — Guided Support: the tailored training, nutrition targets, education, monthly assessments and email support specified at purchase.

Gold — Personalized Coaching: the personalized training, nutrition coaching, assessments every two weeks, in-app support and private onboarding phone consultation specified at purchase.

Platinum — Premium Private Coaching: the individualized training, nutrition coaching, weekly assessments, priority messaging, voice feedback, onboarding video consultation and ongoing video sessions specified at purchase. Ongoing video sessions are generally scheduled approximately every eight weeks, with additional sessions when strategically appropriate.

The service description supplied before purchase identifies your exact inclusions. Assessment, messaging, form-review and call policies below apply only where that support is included. Promotional offers and additional services must be confirmed in writing.

3. Current pricing and financial commitments

The following monthly rates are in Canadian dollars, before applicable tax unless shown otherwise. Your written purchase details confirm the rate and full total for your selected term.

Mel’s Training Club: $59.00 plus $2.95 GST (5%) = $61.95 CAD charged monthly. This is a month-to-month membership that renews automatically until cancelled.

Silver: $279 per month for 3 months; $249 per month for 6 months; $229 per month for 9 months.

Gold: $475 per month for 3 months; $450 per month for 6 months; $435 per month for 9 months.

Platinum: $575 per month for 3 months; $530 per month for 6 months; $500 per month for 9 months.

Monthly payments on a fixed commitment are instalments toward the full agreed term. They do not convert a three-, six- or nine-month commitment into a month-to-month service. The total price, taxes, number and amount of instalments, and payment dates will be disclosed before purchase.

These rates do not replace existing clients’ contracted or grandfathered rates. Discounts, promotions and special arrangements apply only for the scope and duration originally agreed. Future terms may have different pricing, disclosed before renewal.

4. Legacy 2026 packages: Signature, Custom Training and earlier coaching

This section applies only to clients who purchased the relevant legacy service. It preserves the package distinctions while these services are phased out; it does not advertise continuing availability or override a client’s accepted agreement.

Signature 12-week programs — including Rebuild & Rise, Rise & Refine and Evolution: the term is 12 weeks, with the training, nutrition support, check-ins, form review, messaging, calls and other inclusions stated at purchase. Signature programs do not automatically renew. Another phase, a different coaching package or Custom Training requires availability, a new written agreement and payment authorization. Otherwise, coaching ends on the agreed end date.

Custom Program Build: a one-time individualized training-program purchase. Development begins after required onboarding information is supplied; the delivery timetable is confirmed for the project. Where included in the purchased package, one reasonable round of revisions may be requested within 14 days of delivery. Medical restrictions must be supported by appropriate healthcare guidance. A Build is not injury rehabilitation or medical treatment.

Custom Training scope: unless purchased as an express add-on, a Build, Membership or Refresh does not include progress check-ins, nutrition coaching, macro adjustments, form reviews, accountability coaching, ongoing coach messaging, routine redesign, or coach review of photos, measurements or workout logs.

Custom Training Membership: where purchased as a recurring service, it provides the agreed ongoing app access to your program and renews monthly. The legacy notice requirement is at least 7 days’ written notice before the next renewal. Access continues through the applicable paid period. Statutory cancellation rights remain unaffected.

Program Refresh: an additional purchase for active Custom Training clients where available. Its agreed scope may cover exercise selection, progression, training phases, equipment or updated goals. Substantially different goals, new injuries, surgery or medical restrictions may require a separately agreed Build. Build and Refresh fees are ordinarily non-refundable once individualized work begins, except where the accepted agreement or law provides otherwise.

Legacy Monthly Customized Coaching: check-ins and support remain as purchased, including weekly or every-two-weeks arrangements. Month-to-month agreements renew monthly and carry the previously agreed 30-day written cancellation notice. Fixed 3-, 6- or 12-month agreements remain fixed commitments paid under their agreed schedules and do not automatically renew into another fixed term.

Legacy Momentum and month-to-month Premium Coaching: the purchased support level and review frequency remain in place. Where the accepted agreement provides monthly renewal, the legacy cancellation notice is 30 days in writing. The earlier Premium package is governed by its own purchase details and is not automatically converted to the current Platinum package.

Legacy notice periods apply only where they formed part of the accepted agreement, and never override statutory rights. Existing written exceptions, access promises, payment arrangements and package-specific terms remain effective. If a legacy service is discontinued, any proposed transition and its price, scope and timing must be communicated and agreed; discontinuation does not authorize charging for a replacement package without consent.

5. Start dates and onboarding

Your start date, access period, onboarding requirements and relevant delivery dates will be confirmed before enrolment. Provide accurate intake information and complete required screening and agreements. Tell Team Mel promptly if you cannot complete onboarding so the effect on timing can be discussed in writing.

Calls and consultations are included only when stated in your package. No additional paid service will be added merely because you make an enquiry.

6. Assessments and check-ins

Your purchased package sets the assessment frequency. Submit complete, accurate information through the designated system by your assigned deadline. Your coach relies on that information for appropriate reviews and adjustments.

Late submissions may be reviewed later, generally within two to three business days subject to the communicated schedule and workload. A missed check-in may delay feedback or adjustments; it is not automatically banked, refunded or replaced. This does not excuse Team Mel from providing purchased services or affect remedies required by law.

An imperfect week is still worth checking in about. Honesty is expected; perfection is not. Repeated missed submissions may prompt a conversation about participation and whether the current support level remains suitable.

7. Communication, calls and professional availability

Use the communication channel included in your package and identified during onboarding, such as Team Mel app messaging or email. Social-media direct messages are not a reliable channel for coaching, billing or cancellation notices. Send administrative and cancellation enquiries to mel@teammel.ca.

Working days, coaching hours, assessment schedules, holidays and any package-specific response commitments will be provided before purchase. Routine replies are generally expected within one to two business days during the communicated working schedule. Priority support is not continuous monitoring or an emergency service. Existing clients retain any different response commitment in their accepted agreement.

Included messaging supports relevant training questions, nutrition clarification, form-review questions, recovery concerns, travel and changes affecting your plan. Detailed non-urgent questions may be addressed in your next assessment. Messaging does not provide unlimited live access.

Live coaching, technique, video and in-person appointments are included only as purchased or agreed. Additional paid appointments require an agreed price before booking. Give as much cancellation notice as possible; less than 12 hours’ notice or a no-show may result in loss of that appointment where this policy was disclosed at booking. Emergency exceptions may be considered. Statutory rights remain unaffected.

8. Coach holidays and temporary unavailability

Team Mel may take reasonable scheduled holidays, professional-development time and other temporary absences. Advance notice will be provided where reasonably possible, including instructions for check-ins, urgent administrative issues and planned programming needs.

Existing programming and app access generally remain available. Routine reviews, form feedback, adjustments and messages may resume after the notified absence. Continue your plan only where it remains safe and appropriate; seek qualified healthcare help for medical concerns.

Reasonable scheduled time off does not automatically pause billing, extend a fixed term or create an additional check-in, credit or refund where this arrangement formed part of your agreement. This includes a Signature term. Any extension will be confirmed in writing. This policy does not permit a material reduction in purchased services or remove statutory cancellation or refund rights.

9. Participation, coaching decisions and results

Coaching is a partnership. Provide honest health and progress information, follow instructions within your abilities, record relevant training and nutrition information, communicate challenges, and ask when instructions are unclear. Report pain or important health changes promptly rather than waiting for a check-in.

Program changes are based on relevant evidence, including progress trends, adherence, performance, recovery, sleep, stress, health restrictions, goals and client feedback. Individualized coaching does not promise a new plan on demand or a change after every difficult week.

Team Mel provides the professional guidance, education, programming and support purchased. No particular weight, body-fat level, strength, appearance, competition placing, health outcome or transformation timeline is guaranteed. Results vary with individual circumstances. Non-participation does not by itself cancel a contract or payment obligation, subject to your agreement and legal rights.

10. Payments and failed payments

Payment authorization applies only to the price and schedule you agree to. Automatic billing applies only where the service is disclosed and accepted as recurring. Fixed-term instalments end under their agreed schedule; a new term requires new agreement.

Keep payment details current. If a payment fails, promptly contact Team Mel and normally correct it within 48 hours. Access or services may be temporarily suspended for unresolved non-payment after appropriate notice. Stopping a card payment, deleting the app or ceasing participation does not itself cancel the service.

Any recovery of unpaid amounts is limited to sums lawfully owing under the accepted agreement. This policy does not authorize undisclosed fees or charges for an unagreed renewal.

11. Voluntary cancellation, term end and refunds

All policies in this section are subject to section 12 and any more favourable rights in your accepted agreement.

Training Club: cancel at any time by emailing mel@teammel.ca. Send your notice before the next billing date to avoid the next charge. Future renewals stop and access continues through the period already paid for, unless a statutory cancellation requires a different outcome.

Silver, Gold and Platinum fixed terms: you commit to the full selected term. You may request an early release by email. An exception is effective only when Team Mel confirms the agreed end date, any remaining amount payable, and access arrangements in writing. These Terms impose no automatic early-cancellation penalty. Unless a release is agreed or a legal cancellation right applies, the accepted commitment and payment schedule continue.

End of a fixed term: services end on the agreed end date. Continuing requires an express written agreement covering the next service, price, term and payment authorization. There is no automatic new fixed term and no automatic conversion to month-to-month coaching. Renewal will be arranged within any timing limits required by law.

Legacy services: the package-specific terms and notice periods in your accepted agreement apply, as summarized in section 4. A cancellation notice does not automatically reverse a payment already processed, but any refund required by law or the agreement will still be provided.

Outside contractual or statutory entitlements, refunds are not ordinarily given merely because you become busy, travel, miss workouts or check-ins, stop using the app, change your mind or do not achieve a desired result. Individualized Build or Refresh work already started is subject to section 4. Nothing here permits Team Mel to retain money that must legally be refunded.

12. Statutory cancellation and refund rights

The cancellation notice at the beginning of this page is part of these Terms. For a covered BC fitness or personal services contract, the 10-day cancellation right runs from receipt of the contract copy. A qualifying material change can also create a cancellation right, including a documented condition making continued participation unreasonable or unsafe, or a qualifying change to the services.

Failure to provide a contract copy within the required period, missing required disclosures or contract contents, and certain failures to supply services can create additional cancellation rights. Online or other distance purchases may carry further protections. Their applicable conditions and deadlines are set by law.

Required refunds will be made within the applicable statutory deadline, including the 15-day deadline where BC law requires it. Material-change refunds will follow the prescribed calculation; these Terms do not impose a blanket deduction. An administrative pause request or voluntary early-release process is not a prerequisite to statutory cancellation.

Email mel@teammel.ca or use another legally permitted notice method that allows evidence of cancellation. Include any reason or supporting evidence the relevant legal ground requires. You do not need Team Mel’s discretionary approval to exercise a legal right. Mandatory protections in your place of residence remain effective.

13. Pauses, upgrades and other package changes

Pause requests are considered case by case, including significant illness, injury, surgery, family circumstances or other exceptional situations. Request a pause as early as reasonably possible. There is no automatic pause or guaranteed duration.

Any approved pause must state in writing its start and end dates, billing treatment, app access, services available during the pause and revised coaching end date, if any. Do not assume billing has stopped until confirmed. A discretionary pause does not automatically remove an agreed fixed-term obligation or replace statutory rights.

Upgrades, downgrades and other changes require mutual written agreement on services, price, payments and effective dates. Until a change is agreed or the current term ends, the existing package continues. No extra charge or new commitment arises solely from requesting a change.

14. Health, nutrition and professional scope

Team Mel provides fitness coaching, nutrition education and lifestyle guidance within professional scope. Services do not include medical diagnosis or treatment, psychotherapy, physiotherapy, injury rehabilitation, prescription advice or medical nutrition therapy.

Disclose relevant conditions, injuries, pregnancy, medications and healthcare restrictions, and update Team Mel when circumstances change. Obtain medical clearance when appropriate or requested. The coach may adapt exercise around documented restrictions, stop unsuitable activities or refer you to a qualified healthcare professional. Guidance from your regulated healthcare provider takes priority within that provider’s scope.

Nutrition targets, meal structure, sample meals, food choices, hydration and habit education are included only as purchased and are not treatment for disease. Any supplement discussion is optional, not a prescription. Check allergies, interactions and suitability with your physician or pharmacist when appropriate.

Stop an activity if you experience concerning pain or symptoms. Seek appropriate healthcare or emergency assistance; do not wait for a coaching reply.

15. Exercise risks and in-person sessions

Exercise carries inherent risks such as soreness, fatigue, strains, falls and aggravation of existing conditions. Participate voluntarily, train within your abilities, use suitable equipment, follow instructions and exercise reasonable care. Nothing in these Terms excludes liability or rights that cannot lawfully be excluded.

In-person sessions are included only where purchased, scheduled according to availability and subject to the disclosed booking terms. Arrive prepared and on time. A private training location may not be a commercial gym; relevant arrangements and safety instructions will be communicated before attendance.

16. App access and service interruptions

App, program, messaging, community and resource access lasts for the period agreed for your service. The purchase details identify whether any delivered materials may be retained after access ends. A one-time Build does not imply indefinite app membership or ongoing coaching.

When access ends, relevant programs, videos, resources and messaging may become unavailable. Retain your own personal records where permitted by the platform. Technical outages may occur; report material interruptions promptly. Team Mel will make reasonable efforts to restore access or offer an appropriate alternative. This does not remove contractual or statutory remedies for services not supplied.

17. Intellectual property, personal use and transfers

Team Mel and its licensors retain ownership of their programs, guides, videos, worksheets, templates, educational resources and coaching systems. Your purchase provides the agreed personal-use permission, not ownership of those materials.

Do not share logins, resell, publish, redistribute or commercially use proprietary materials without written permission. Packages, memberships and credits are personal and may not be sold, shared or transferred without an approved written exception. These restrictions do not prevent lawful use of your own personal records or disclosures protected by law.

18. Privacy, photographs and marketing permission

Personal information is handled under the Team Mel Coaching Privacy Policy and applicable law. Coaching may involve health information, progress photos, measurements, training logs and private communications. Service delivery may use third-party coaching, forms, payment, email, video and storage platforms as described in that policy.

Photos and information submitted for coaching are not automatic permission for marketing. Identifiable photos, transformations, testimonials, private messages and client stories require separate permission before promotional use. You may withdraw permission for future use by written notice.

Respect other members’ confidentiality. Do not disclose their private information or share screenshots of private community conversations without permission, except where legally permitted or required. Nothing here prevents seeking advice, reporting concerns or exercising legal rights.

19. Client policies and professional standards

Team Mel is a professional coaching environment. Communicate respectfully with your coach, staff and other clients. Abuse, threats, intimidation, harassment, discrimination, sexual misconduct, bullying, deliberate misuse of services and repeated disregard of clearly communicated boundaries are unacceptable.

You may ask questions, disagree respectfully, give honest feedback, raise a complaint or explain when something is not working. Professional boundaries do not prohibit criticism or lawful reviews.

You can expect respect, honest feedback, evidence-informed guidance within the service purchased, appropriate confidentiality and accountability without humiliation. Your coach’s role is to educate, guide, assess and support—not to shame you, demand perfection or promise outcomes. Direct feedback should address the plan and behaviour, not attack you as a person.

20. Suspension or termination by Team Mel

Team Mel may suspend or end services where reasonably necessary for serious misconduct, safety concerns, unresolved non-payment, material breaches, unauthorized distribution of materials or needs beyond professional scope. Where appropriate, concerns and a reasonable opportunity to correct them will be provided. Serious safety or conduct issues may require immediate action.

Any termination notice will address the effective date, access and financial treatment under the agreement and law. Amounts lawfully due for services already supplied remain payable. Termination does not automatically entitle Team Mel to keep payment for undelivered services or charge every remaining instalment irrespective of the circumstances. Applicable refund and consumer rights continue.

21. Younger clients

Clients under 18 require parent or legal-guardian consent before participation. Any additional consent or contracting requirements arising from the client’s age and applicable law must also be satisfied.

The parent or guardian must review the service terms, authorize any payment they agree to make, supply relevant health information and support appropriate participation. Medical clearance or additional involvement may be required. Guardian consent does not waive rights that cannot legally be waived.

22. Changes, concerns and applicable law

Team Mel may update operational procedures, technology and resources. Changes do not automatically alter an existing client’s agreed price, fixed term or purchased services. Material proposed changes will be communicated and handled in accordance with the agreement and law; posting revised Terms alone does not create client consent.

Send service, billing, privacy or cancellation concerns to mel@teammel.ca. Raising a concern does not require you to give up access to a regulator, court or other lawful remedy.

The agreement is governed by the applicable laws of British Columbia and Canada, subject to mandatory protections where you reside. No provision excludes a right or obligation that cannot lawfully be excluded. If a provision is unenforceable, the remainder applies to the extent permitted by law.

23. Acceptance and payment authorization

Before accepting a paid service, review your package, inclusions, total price, taxes, payment dates, commitment and renewal structure, access period, cancellation rights and these professional standards. Ask for clarification before agreeing if anything is unclear.

Your affirmative acceptance of the purchase agreement records your agreement to the applicable Terms and authorizes only the charges expressly disclosed and accepted. Merely viewing this page or submitting an initial enquiry does not authorize payment, replace an existing agreement or create a new commitment.
